Grayfin
Privacy Policy
Effective: October 17, 2026
Grayfin, the trade name of a Florida limited liability company, based in Palm Coast, Florida ("Grayfin", "we"), is responsible for the information described in this policy. It explains what Grayfin collects when you use Grayfin Receptionist Builder, a tool you can use inside AI assistants such as ChatGPT, Grok and Claude, when you visit grayfin.ai, when you email us or sign up by email, and when you call a Grayfin phone number. Questions: hello@grayfin.ai.
If you are in Mexico, our aviso de privacidad (in Spanish) also applies.
Summary
- The tool turns the business details you give it into a phone script or a missed-call estimate. Grayfin does not save what you type.
- Your AI assistant provider may keep your conversation, including what you typed, under its own policy.
- We keep aggregate counts only, such as "a plumbing script was created today". The count line we write contains no text you entered and no identifier. Separately, our host's standard request logs (see section 3) record technical data such as IP address.
- We don't sell your data, show ads or build profiles.
- Live phone test calls are not available. The tool does not place or receive calls.
- If you call a Grayfin phone number, an AI assistant answers and the call may be recorded. See "Calls to a Siren line" below.
1. What the tool receives
When your AI assistant uses the tool, the assistant sends Grayfin only the details needed for that request:
- Receptionist script: business name, type of business, opening hours, services, service area, what counts as an urgent call, what to do with urgent calls, whether you book appointments or take messages, an optional receptionist name, and the language you want.
- Missed-call estimate: calls per week, percent missed, average job value, close rate, percent of callers who never call back, and currency.
The tool does not ask for your name, email, phone number, location, payment details, account login or chat history. It has no sign-in.
Please don't enter personal information about your customers. The tool is not designed for health, payment or government ID data.
2. How we use it
Only to produce the script or estimate you asked for, in the same request. The result goes back to your assistant, and the tool then discards your inputs. Nothing you enter is used by Grayfin to train AI models.
3. What we keep
- Your inputs and results: not stored by Grayfin. Grayfin's code does not write them to a database, file or log.
- Aggregate usage counts: for each tool call we write one line with only:
- the tool name;
- the type of business, from a fixed list (such as plumber, HVAC or salon) or "other";
- the language requested and returned;
- the currency type for estimates;
- whether the call succeeded;
- which version of the tool was used (for example, a directory version);
- the calendar date (UTC).
- Hosting logs: our hosting provider, Vercel, automatically records technical request data, such as IP address, time, requested path and response status, to run and secure the service. It keeps these for a limited period under its standard retention. We don't use them to identify or profile users.
4. Who receives data
- Vercel hosts the tool and the website and processes requests on our behalf.
- Your AI assistant provider (for example OpenAI, xAI or Anthropic) sends your request to the tool and receives the result. It may keep your conversation, including what you typed, under its own privacy policy.
- Email providers: email you send to hello@grayfin.ai, and requests you send through forms on grayfin.ai, reach us through our email providers. Resend delivers form submissions, and our inboxes are hosted by Porkbun and by Google (Gmail).
- Phone calls: the providers that handle calls to a Grayfin number are described under "Calls to a Siren line" below.
- Google Fonts: when you visit grayfin.ai, your browser loads fonts from Google, which receives your IP address and browser details.
- Stripe: if you choose to pay for a Grayfin service through a Stripe checkout link on grayfin.ai, Stripe processes your payment details under its own privacy policy. Grayfin does not receive your full card number.
- We do not sell or rent data, and we do not share inputs with advertisers or data brokers. We may disclose information if the law requires it.
grayfin.ai does not use analytics or advertising cookies or tracking pixels.
5. Links from the tool
The versions of the tool listed in AI-assistant directories do not add links to their results.
If you connect the tool yourself using the server address on our Support page, a script may end with a link to an informational page on grayfin.ai. That link carries a src=plugin tag so we can count visits that came from the tool. The tag contains none of your inputs.
Connectors
Grayfin's connectors are tools you add to an AI app such as ChatGPT, Claude or Cursor: Grayfin Receptionist Builder and, once it launches, Grayfin Holiday & Hours Notices. They have no sign-in. Grayfin does not store what you type into them: your inputs are used to answer that request and then discarded.
The AI app you use may keep what you type under its own terms and privacy policy.
Anonymous usage count. For each tool call, a connector writes one log line. Each value comes from a fixed list, and anything else is recorded as "other". The line contains only:
- Both connectors: an event name and format version; the calendar date (UTC, no time of day); the tool name; whether the call succeeded; which version of the connector was used (our own, or a version made for an app directory or skills package); and, where the tool has a language option, the language requested and the language returned.
- Receptionist Builder: the type of business, from a fixed list (such as plumber, HVAC or salon) or "other"; and, for estimates, the currency (USD or MXN), never an amount.
- Holiday & Hours Notices: the country (Mexico or the United States) and, for notices, the channel (such as SMS, WhatsApp or a door sign).
The line we write contains no text you entered (no business names, hours, dates, holiday names or numbers) and no identifier (no account, session or request ID, and no browser or device details). It goes to the function logs of our hosting provider, Vercel, and is kept for Vercel's standard log period. Separately, the hosting platform's own request logs may include IP addresses (see "Hosting logs" in section 3).
6. Emailing us and signing up
Sign-up and waitlist buttons on grayfin.ai (for example, on the Siren pages) open an email to hello@grayfin.ai in your own email app. Nothing is sent until you send that email.
The Grayfin Cast page has a form to request a sample. When you submit it, the website address and email you enter, and anything optional you add (such as what you want to promote or a phone number), are sent to us by email. We use them to prepare and send you the sample.
If you sign up, use a form or email us, we receive your email address and what you send, such as your name, business name, phone number and message. We use it to reply, to tell you about the service you asked about and, if you become a customer, to provide that service. We don't sign you up for newsletters. If we contact you about other Grayfin services, you can tell us to stop at any time and we will. We keep correspondence while it's needed for these purposes, and we delete it on request unless we must keep it by law.
We may also find business contact details, such as a business's name, website, email or phone number, in public sources like business websites and public directories, and use them to contact that business about our services. You can ask us to stop at any time by replying or writing to hello@grayfin.ai. We keep a record of opt-out requests so we don't contact you again.
Some pages on grayfin.ai let you draft a request in your browser. Those drafts are saved only in your browser's local storage and are not sent to Grayfin unless you email them to us. Your language choice (English or Spanish) is also saved in your browser's local storage.
Calls to a Siren line
When you call a number answered by Grayfin Siren, an AI assistant answers. Our voice provider processes the call audio in real time so the assistant can understand and reply. With the settings we use, it does not keep a recording or transcript of the call, and we don't get one.
If you'd rather not speak with an AI assistant, you can hang up and email hello@grayfin.ai.
Our phone provider keeps a basic call record, like any phone company: the number you called from, the number you dialled, and the time and length of the call.
If you tell the assistant something is urgent, we send an alert by email (and sometimes a short text message) with the details you gave: your name, callback number, your address if you gave it, and a short reason for the call. That alert stays in the receiving inboxes, and our email delivery provider keeps a copy for 30 days, plus short-term backups.
These providers process the data on our behalf, primarily in the United States.
Please don't share health, financial or other sensitive information on a Siren call. We don't sell call data, use it for advertising, or use it to train AI models. To ask for a copy or deletion of your call details, or to tell us not to contact you, email hello@grayfin.ai. The assistant isn't an emergency service: if anyone is in danger, call 911.
7. Your choices and rights
- You can stop using the tool at any time by disconnecting it in your assistant's settings.
- Because Grayfin doesn't store tool inputs, there is nothing from the tool for us to access or delete.
- For email correspondence, form requests and call data, you can ask us to access, correct or delete your information by writing to hello@grayfin.ai. Depending on where you live, you may have additional rights under local law, and we will respond as the law where you live requires.
- If you are in Mexico, our aviso de privacidad also applies and explains how to exercise your ARCO rights (access, rectification, cancellation and opposition).
8. Security
The tool and grayfin.ai run over HTTPS. Because Grayfin does not store tool inputs, there is little to expose. Hosting access is restricted to Grayfin.
9. Children
The tool is meant for businesses. It is not directed to children under 13, and we don't knowingly collect their information.
10. Live test calls
A feature that lets you phone a short test of your script is planned but turned off. Before it is turned on, we will update this policy to explain exactly what a test call records and how long it is kept.
11. Changes
If we change this policy, we will post the new version here with a new effective date. Material changes will be noted at the top of the page.
